Dividend Income Tracking for Tax Season

How to organize your dividend income records across multiple brokerages for smoother, less stressful tax reporting in Canada and the United States.

Dividend income is taxable in both Canada and the US (in non-registered/taxable accounts), but the rules differ significantly. Tracking your dividend income consistently throughout the year makes tax preparation much easier than scrambling to reconstruct records in April.

Canadian Dividend Tax Treatment

In Canada, eligible dividends from Canadian corporations receive preferential tax treatment through the dividend tax credit. The dividend is grossed up by 38% and then a federal tax credit is applied. For eligible dividends, the effective tax rate is lower than regular income. Foreign dividends (including US dividends) do not qualify for the Canadian dividend tax credit and are taxed as regular income.

US Dividend Tax Treatment

In the US, qualified dividends are taxed at the long-term capital gains rate (0%, 15%, or 20% depending on income). Non-qualified (ordinary) dividends are taxed at your regular income tax rate. To qualify for the lower rate, you must hold the stock for more than 60 days during the 121-day period surrounding the ex-dividend date.

Organizing Your Records

  • Download dividend reports from each brokerage at year-end.
  • Categorize dividends by type: eligible Canadian, non-eligible Canadian, qualified US, non-qualified US, foreign.
  • Track foreign withholding taxes paid for potential foreign tax credit claims.
  • Record the currency and exchange rate for cross-border dividends.
  • Use a portfolio tracker to consolidate dividends from multiple brokerages into one view.

Cross-Border Dividend Considerations

If you hold US stocks in a Canadian non-registered account, the US typically withholds 15% on dividends (under the Canada-US tax treaty). You can claim a foreign tax credit on your Canadian return. In an RRSP, US dividends are exempt from US withholding tax under the treaty.
